Keyline Privacy Policy

Keyline is a property communication and case-management service published by LIVIA CARE PTY LTD, trading as Intellova ("Intellova", "we", "us"). It connects tenants, property managers, owners and contractors around a home, its information and its maintenance requests. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
This policy covers the Keyline mobile and web applications. Intellova's other products and company website are covered by their own policies or the Intellova Privacy Policy.
1. Information Keyline handles
- Account and sign-in information — your name, email address, secure sign-in identifier and, if you choose it, the limited profile fields returned by Google or Microsoft.
- Property and relationship information — your agency, role, property, tenancy, household or contractor relationship and access permissions.
- Communications and cases — messages, maintenance reports, descriptions, urgency, access instructions, status changes, appointments, approvals and the people responsible for next actions.
- Property information — handbook entries, contacts, documents and sensitive values that an authorised property team chooses to make available to an active tenancy.
- Operational records — request identifiers, timestamps, workflow and audit events, IP address in access logs, device or browser details provided with a support request, and technical error information.
Keyline receives property records from the property organisation that invited you and information that you or another authorised participant adds during the service.
2. Why we use it
- to authenticate you and resolve the exact agency, role, tenancy and property you are allowed to access;
- to deliver messages, case updates, approvals, appointments and property information;
- to preserve an agency-scoped audit history, prevent duplicate actions and investigate security or reliability issues;
- to provide support, respond to access or correction requests and meet legal obligations; and
- to protect Keyline, its customers and residents from misuse or unauthorised access.
3. What the current app does not collect
- No advertising identifier, targeted advertising or sale of personal information.
- No third-party behavioural analytics or advertising SDK.
- No precise location, contacts, microphone recording or biometric information.
- Keyline stores session credentials in the iOS Keychain or Android Keystore; it does not receive your fingerprint or face when the device protects that storage.
4. Where information is kept
Keyline's primary application data is hosted in Amazon Web Services in the Asia Pacific (Sydney) region. Data is encrypted in transit, private storage is encrypted at rest, and agency separation is enforced on the server and in the database. The web application is delivered through Amazon CloudFront's global edge network, so encrypted delivery and access-log processing may occur outside Australia.

We do not give property or communication data to Google or Microsoft merely because you use their sign-in service.
6. Who can see information
Access depends on an active agency membership and a specific property relationship; signing in alone does not grant access. Tenants, managers, owners and contractors see different information. Sensitive handbook values are restricted to authorised people. Intellova personnel may access production systems only where reasonably required to operate, secure or repair the service.
7. Retention and deletion
Property organisations may need to retain tenancy, communication, maintenance and approval records for contractual, safety, dispute or legal reasons. When your access ends, Keyline removes active access but may preserve those organisation records, with identity details limited or de-identified where appropriate.
- Authentication profiles and active sessions are deleted after a verified account-deletion request, normally within 30 days.
- Application and access logs are retained for security and operations for up to 12 months in production.
- Encrypted database backups expire under the service's disaster-recovery schedule; they are not used to reactivate a deleted account.
- Records required by law or a legitimate dispute are kept only for the required period.
You can initiate access, correction or deletion from the app or follow the public Keyline account deletion instructions.
8. Your rights and complaints
You may ask for access to or correction of personal information, request deletion, or complain about how it was handled. Email apps@intellova.com.au. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner.
9. Security incidents and changes
If an eligible data breach is likely to result in serious harm, we will notify affected people and the Office of the Australian Information Commissioner as required. We will update this page and its date when Keyline's material data handling changes.
